What We Hear

Where do a roofing company's office hours go?

These are problems roofing and trade contractors have described to us in discovery and architecture calls. We've kept them general, so none of them describes one identifiable company.

  • Service billing runs on paper. A repair call becomes a printed ticket, the crew marks it up on the job, and someone retypes every line into an invoice. It usually rests on one person, and when that person falls behind, cash waits.
  • Job status and job cost arrive late. Owners see what the crews did at the end of the day, and profit per job gets pieced together in spreadsheets.
  • The same customer details get typed more than once. Updates arrive by call, text and email, and someone keys each one into the CRM by hand.
  • Material orders get checked by hand. When a wrong color slips through on the supplier's acknowledgment, the crew waits while someone fetches the right material, the wrong one goes back, and the invoices multiply.
  • Leads slip through after the first try. If a new lead misses the first callback, nobody calls again, and web leads that arrive on a weekend can wait until Monday for a reply.
  • The office costs more than it should. Admin cost runs well above where the owner wants it as a share of revenue.
The Back Office

Which roofing back-office work can AI run?

Most of the paperwork between the first call and the final payment, as long as a person stays on the judgment calls.

WorkflowWhat digital labor doesWhat stays human
Service ticket to invoiceReads the completed ticket or job photos, drafts the invoice in your accounting system, and flags anything missingApproving what gets billed
Lead responseReplies to every new lead within minutes, including after hours, and books the inspectionThe estimate visit and the sale
Material order checksCompares each supplier acknowledgment against the purchase order and flags wrong colors, quantities or prices before deliveryChoosing a substitute when something is wrong
Job, crew and cost statusPulls job, crew and cost data from the systems you already run into one daily viewThe decisions the numbers call for
Customer updatesSends schedule and weather-delay updates, and chases signatures and payments on a scheduleThe conversation when a job goes wrong
Re-keying between systemsMoves customer and job details between your CRM, roofing software and accountingCleaning up the exceptions

It adds up. Research puts 36 percent of the average work week on repetitive admin that requires no human judgment at all (BCG and Harvard Business Review, March 2026; Quickbase Gray Work Index, 2025). In a roofing company, that time lands on the few office people every crew depends on. For what it costs in cash and in the multiple a buyer pays, see the Operator Tax.

The Field

Why does field adoption decide whether it works?

Every trade owner we've spoken with raised the same worry without being asked: the crews. Some crews would rather work on paper. Some owners have heard years of complaints about tablets. Cell service on a job site is not guaranteed, and logins fail in the field.

So the systems that get used are built around what crews already do: take a photo, leave a voice note, send a text. The paperwork happens behind that, in the office systems, where a person reviews it. If a system needs a new login in the truck, it is the wrong system.

FAQ

AI for roofing contractors, asked and answered.

Can AI invoice service tickets for a roofing company?

It can do most of the work. Digital labor reads the completed ticket or the photos from the job, drafts the invoice in your accounting system and flags anything missing. A person still approves what gets billed.

Will my crews have to learn new software?

They shouldn't. The systems that get used are built around what crews already do: take a photo, leave a voice note, send a text. The paperwork happens behind that, in the office, where a person reviews it.

Does it replace our roofing software or accounting system?

No. Digital labor works inside the systems you already run and moves information between them, so you keep your CRM, your roofing software and your accounting.

Where should a roofing company start?

With the office work that eats the most hours. For the roofers we talk to, it has been service billing, lead response or material order checks. Price each one at the loaded cost of the hours it takes, then build the one that pays back first.
