Orbital Access, LLC, d/b/a Meet Caddy (“Caddy,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, and protect personal information when you visit www.meetcaddy.com (the “Site”) or interact with us as a prospect.
Client engagement data. If you are a client with an executed Client Services Agreement, the processing of your data during engagements is governed by our Data Processing Agreement at www.meetcaddy.com/dpa, not this Privacy Policy.
1. Information We Collect
1.1 Information you provide.
- Intake forms and booking pages: name, email, phone, job title, company name, and business information. Our form tools may capture partial submissions (information entered before completing a form).
- Meeting information: name, email, and information shared during calls.
- Email and text communications: contact details and message content.
- Payment information: billing details processed by our payment gateway. We do not store full payment card or bank account numbers.
- Contract signing: name, email, title, and signature through our electronic signature platform.
1.2 Information collected automatically.
- Device and browser information: IP address, browser type, operating system.
- Usage data: pages visited, time on pages, referring URL, click behavior.
- Cookies: used for site functionality and analytics. Manage preferences in your browser settings.
1.3 Advertising and analytics tools.
- Meta Pixel: installed on ad landing pages and booking confirmation pages. Collects browsing activity and conversion events. On booking pages, Meta’s code receives the booker’s email and name, hashed in the browser before transmission.
- Meta Conversions API: we send Meta a server-side feed of hashed email, phone, and name for ad measurement and optimization.
- Microsoft Clarity: records session replays and heatmaps for analytics. Does not intentionally capture passwords or payment data.
- Custom analytics: our marketing agency uses internal analytics software for campaign metrics. This data is not shared with third parties.
- ROASForm: captures form interaction data, including partial submissions, for lead tracking.
- Google Analytics: measures how visitors use the Site, such as pages visited and time on pages.
- Google Ads: a conversion tag on some ad landing pages measures the results of our Google ads.
- Vercel Speed Insights: measures how quickly Site pages load.
2. How We Use Your Information
- Respond to inquiries and communicate by email and SMS.
- Process intake forms and prepare proposals for ACE engagements and Blueprint consulting sessions.
- Schedule and conduct calls.
- Process payments.
- Execute service agreements.
- Measure and optimize advertising.
- Follow up on form submissions, including partial submissions.
- Improve our Site through analytics.
- Comply with legal obligations.
We do not sell your personal information. We do not use it for automated decision-making or profiling.
3. Advertising Data Shared with Meta
We share personal information (hashed email, phone, and name) with Meta through the Meta Pixel and Conversions API for targeted advertising, including ad measurement, optimization, and audience building. Meta uses this information to serve ads on Facebook, Instagram, and its partner network. We do not share personal information with any other third party for their own advertising purposes.
4. Service Providers
We use the following categories of service providers, each bound by written confidentiality and data-protection agreements:
- Advertising and analytics: Meta (Pixel and Conversions API), Microsoft (Clarity), Google (Analytics and Ads), and our marketing agency’s internal analytics.
- Form capture: ROASForm.
- SMS: SendBlue.
- Payment processing: Hyfin.
- Contract execution: DocuSign.
- Email: Google Workspace (Gmail), Resend.
- Hosting and infrastructure: Vercel, Supabase.
- Workspace: Notion.
- Scheduling: Calendly.
- Customer relationship management: Close.
- Video hosting: YouTube.
5. Data Retention
- Prospect data: two (2) years after last contact, then deleted.
- Payment records: retained per tax and accounting requirements.
- Analytics data: retained in anonymized or aggregated form.
- Advertising data shared with Meta: subject to Meta’s retention policies.
6. Your Privacy Rights
If you want to know what personal information we have about you, request a correction, or ask us to delete it, email hi@meetcaddy.com and we will respond promptly. State privacy laws may provide additional rights depending on your location.
7. Security
We use reasonable technical and organizational measures including encryption, access controls, and secure development practices. No method is completely secure; we cannot guarantee absolute security.
8. Children’s Privacy
Our Site and services are not directed to individuals under 16. We do not knowingly collect information from children. Contact hi@meetcaddy.com if you believe we have.
9. Third-Party Links
Our Site may link to third-party websites. We are not responsible for their privacy practices.
